A Policy is intended to provide a set of rules for the conduct of EUS affairs. Policies are established to define the operations of the EUS, such as recruitment process, equity awareness and complaint process, handling events with alcohol, etc. Policies provide guidelines any members holding a EUS position or conducting an action within the EUS or in the name of EUS shall respect. Policies are different from bylaws as they are not legally binding.
Policies can be created by the EUS Council, the Board of Governors, or a General Assembly.

Amendments
Policies always need updating! We recommend going over any policy, bylaw - any document really, every 5 years to ensure that the contents are updated and reflective of current practices. Often, you'll find sections that don't apply or feel the need to add to your policy. In that case, follow the below steps to ammend a policy.
A policy can be amended by any member of the EUS, subject to approval by the EUS Council and the Board of Governors if applicable. Due process is to be respected to for the amendment of an existing policy or the adoption of a new policy.
Amending a Policy
- 1. Notice that something needs to be changed!
- 2. Make a COPY of the existing policy Google Doc and make trackable edits. This can be done via the amenders discretion - we recommend using the 'suggestions' function Google Docs or highlighting new additions & striking through + red colouring clauses to take out.
- 3. Run the edits through whatever committee or group such that all executive members have reviewed and approved the changes.
- 4. Write a motion for EUS Council stating the purpose of the amendments with the tracked document attached as an appendix item. The template and example for an EUS Council Sprit Motion can be found here!
- 5. Send over your motion to the Speaker via email at speaker@mcgilleus.ca to be passed at the next EUS Council.
- 6. Once approved by EUS Council, the policy must be ratified at the next general Board of Governors meeting. Rewrite your motion in the Board Final Motion Template, as seen here and email it over to the Board Chair at board.chair@mcgilleus.ca.
- 7. Once finally passed your policy is fully updated and officially ratified! ***MAKE SURE YOUR UPDATED POLICY IS ACCURATELY UPDATED IN THE WIKI***
Amendment Good Practices
- Keep track of older versions of each policies in the policy folder in pdf format
- The pdf version of the adopted version is then added to the corresponding policy subfolder

New Policies
Writing a new policy might take a bit more work than amendments but really aren't too challenging. We recommend looking at an existing, related policy and using the general structure to make your own! Then, follow steps 3 - 7 in the above 'Amending a Bylaw' section to have it officially ratified. It's as easy as that!
