Photography Contract

In Fall 2018, the EUS signed a photography contract with Voltaic Photographie. EUS groups had previously hired Voltaic Photographie for most events, so it made sense to bring these expenses under one bulk umbrella so that the EUS can pay cheaper photography rates. The contract, unless otherwise terminated, will be in effect until June 30, 2021.

NOTE: emails sent from @voltaicphoto.com addresses sometimes end up in @mail.mcgill.ca address' spam folders. If you're wondering why you haven't received a response in a little while, check your spam!

Basics

All EUS groups may make use of Voltaic's services, but only some groups are required to do so. Groups fall into two categories:

Group 1

If you hire paid photography services, you must hire Voltaic.

• Frosh
• Fall OAP
• Fall Iron Ring
• E-Week
• Winter Iron Ring
• OAP Lite
• Plumber's Ball

Group 2

You can hire Voltaic for a "preferred" rate. You're allowed to hire a different paid photographer if you wish.

• Wine & Cheeses
• Banquets (175 people or less)
• Volunteer Banquet (regardless of attendance)
• CFES Congress 2019
• McGill Engineering Competition (MEC)

Rates

Base Rates

All rates do not include tax, but the EUS gets taxes back on expenses, so your group will be charged the pre-tax rate.

• $47.50/hour: Frosh
• $50.00/hour: MEC
• $52.50/hour: Fall OAP, OAP Lite, E-Week
• $57.50/hour: Fall Iron Ring, Winter Iron Ring, Volunteer Banquet
• $62.50/hour: Plumber's Ball, Wine & Cheeses, Banquets (<175 people)

Additional Fees

Booking Time

All bookings must be at least 2.5 hours in length, and in increments of 15 minutes. If the booking is under 3 hours, an additional flat rate of $15.00 will be charged.

Bookings must be made at least 72 hours before the event.

Transportation

If the event is further than 50 kilometres from the EUS office, a transportation rate of $0.40/kilometre will be charged. If Voltaic cannot find free parking at the event, a parking fee of up to $15.00 will be charged. Note that on the bill you receive before the event, the parking fee will be indicated. Voltaic will issue you a new bill after the event with the true parking charge (up to $15 max) reflected.

Options

Before activating these options, be sure to verify that your event doesn't already have it automatically included (e.g. most non-formal events already have the Photo Voltaic logo removed)

Remove Voltaic's Logo: +$10.00/hour
Organizers publish photos independently: +$10.00/hour
Accelerated service: 3 days: +$17.50/hour
Accelerated service: 7 days: +$10.00/hour
Add a sponsor's logo on your pictures: +$10.00/hour
Photobooth: $650.00 for 2 hours

Notice a potential strategy: if you pay the extra $10 (or $20) to add a sponsor's logo (and remove Photo Voltaic's logo), but your sponsorship exceeds this surcharge, this is a profit opportunity!

Publication

Voltaic will publish the photos in the appropriate manner (see below) within 10 days after the end of the event.

Non-Formal Events

Voltaic's logo will be watermarked in one corner, and the event's logo will be watermarked in the other.

Frosh, E-Week, Fall OAP, OAP Lite: Voltaic will provide the photos to the organizers, who are free to publish them however they wish.
Other non-formal events: Photo Voltaic will post the photos on their Facebook page for at least 2 weeks.

Formal Events

Photos will be uploaded to Zenfolio, devoid of any logos. The link to the photos can be posted however the organizers wish, and the photos can be viewed and downloaded for free.

Special Cases

If multiple student societies collaborate on an event, Photo Voltaic will publish the photos so that everyone can access them in one central location.

Photo Voltaic and the organizers may edit the photos so long as the modifications don't degrade the photographer's work. The photos may not be sold for profit without consultation between the parties. If the organizers crop or edit out Voltaic's logo then publish it, they must include a credit of the format ((C) <Photographer Name> - Voltaic Photographie S.E.N.C.
